Quick Tips: SP's Biller Agenda Email Hack

Hey, group practice owners who use Simple Practice!

Did you know that the person(s) with the 'biller' role (team member) gets an AWESOME evening summary and 'daily agenda' email?? I have been an SP user for ohhhh seven years now and I had no idea until I created a 'biller' team member for my new soon-to-be-biller/admin (more on that later!) and found this out!

Here's how it happened:

As a group practice owner, I would get the 'daily agenda' and 'evening summary' emails (well, tbh, I turned those off a while ago, but turned them on again recently), and would get the breakdown of MY CLIENTS only. This is helpful if I was say, a solo practice owner, but as a group practice owner, I wished I could get a snapshot of my entire practice's breakdown. Did that even exist in SP world? 

Upon hiring a new admin, I made her a 'biller' account in Simple Practice. Having set up her 'biller' email (and having access to it myself, because, well of course haha), I soon realized the 'biller' user account gets the whole practice's breakdown daily. 

Why The Biller Email is Superior to the Regular Clinician Email Group Owners Get By Default:

  • It has the entire practice's information, not just the group owner's clients. 
    • It tells you (for the entire practice!):
      • Expired Credit Cards (if you use Stripe)
      • Clients with a balance due (so you know if a card was not charged or if it was declined etc.)
      • Payment reports that adjust what was already in SP
        • Helpful for when a client has met their deductible and you did not know it or if their fee changed based on the ERA for whatever reason
      • Expiring authorizations (helpful for EAPs!)
      • A breakdown of all payments collected by client that day (showing what type of payment--cash, external credit card, Stripe etc.)
      • A breakdown of all invoices paid/unpaid/no payment needed for that day
        • Also shows any client accounts that have credits!
      • Denied or rejected claims

I came up with my own solution so that SP sends the 'Biller' agenda email to me daily (until SP makes this info available for the group practice admin via agenda email and the reminder list, they just might!).

PS. I told SP about this (their suggestion was to add another account with another email address I had access to....while that would work, I like my way better for now haha).
